2011-2012 POPS Officers

Co-President responsibilities:
- Be the official representatives of POPS, who lead and guide the POPS officers in supporting the co-Directors, teachers, parents and students of St. David’s Preschool
- Preside and administer all POPS meetings
- Coordinate the work of the various POPS committees and serve as ex-officio members of all standing POPS committees
- Prepare meeting agendas in consultation with the Preschool Directors
- Submit to the co-Directors a plan for POPS activities for the upcoming school year by the beginning of August
- Assist with communication between the parents and the school
- Approve all correspondence written in the name of POPS
- Provide written correspondence to the co-Directors for final approval
- Communicate with room parents periodically regarding duties and special activities
- Be responsible for training the new Co-Presidents during the last month of service
- Perform all duties incumbent of this office or as delegated by the Preschool Directors
Secretary responsibilities:
- Record and make copies of the minutes of all POPS Meetings available to the general membership
- Maintain a current file of reports, records and correspondence of POPS
- Conduct the correspondence of POPS
- Submit all POPS correspondence to the Co-Directors for review prior to release
- Coordinate publicity of school and POPS events with the school, parish and community
- Promote school and POPS activities in the wider community as necessary
- Be responsible for training the new Secretary during the last month of service
- Perform additional duties as designated by the President or Co-Presidents
Treasurer responsibilities:
- Collect and deposit all monies received through fundraising and contributions according to school/parish/diocesan guidelines
- All funds raised by POPS must go to the Church’s financial secretary for accountability
- Serve as an ex-officio member of all fundraising committees to coordinate and help prepare fundraising reports
- Maintain records of all receipts and expenditures
- Provide on a regular basis to the general membership a treasurer’s report of all income and expenditures
- Works with the Church fundraising committee and Co-Directors for scheduling and approval
- Be responsible for training the new Treasurer during the last month of service
- Perform additional duties as assigned by the Co-Presidents
Term of office:
The term for each office is one year. In the event of a tie, ex-officio members will cast the tie-breaking votes. An Officer may hold the same position for no more than two consecutive terms (not to include appointment for a vacated office.) If an Officer is unable to complete a term of office, the President may appoint a replacement from a slate of nominees submitted by the general membership to complete the term.
